1. Data Collection & Purpose We collect personal information (including names, contact details, and professional achievements) strictly for the purpose of processing, validating, and verifying nominations for the Mfantsipim 150th Anniversary Awards.

2. Media and Document Uploads Any supporting documentation, certificates, or media uploaded during the nomination process are used strictly for credential verification by the evaluation committee. Uploaded files are directed to secure, non-public directories on our server to ensure privacy and prevent unauthorized public access.

3. Data Retention (Act 843, Sec 24 Compliance) In strict compliance with the Ghana Data Protection Act, 2012 (Act 843), personal data and supporting files will not be stored longer than necessary. All nomination records and uploaded media will be securely retained only for the duration of the 150th Anniversary event cycle and evaluation period. Once the final awards are concluded, all submission records will be permanently deleted and purged from our active databases and backup servers.

4. Data Sharing & Third Parties We enforce a strict zero-sharing policy. All personal data and submitted documents are treated with absolute confidentiality. We do not sell, trade, lease, or share your information with any external third parties, sponsors, or marketing agencies. Data access is siloed exclusively to the authorized awards evaluation committee and the internal IT department.

5. Data Security All data is fully encrypted in transit using industry-standard HTTPS protocols to prevent interception. At the infrastructure layer, files and records are stored in secure database environments protected by restricted administrative access controls and automated daily backup routines.
